Create, sell, and redeem packages

Bundle services into prepaid or pay-later packages, track partial payments and outstanding balances, and recognize revenue when sessions are redeemed.

In this guide

Create a package

  1. Open Packages and review the dashboard for active packages, expiring packages, unpaid invoices, liability, outstanding balances, and paid amounts.

  2. Create or edit a package with a clear name, description, expiry policy, package terms, liability account code, and revenue account code.

  3. Add each included service with the number of sessions the client receives and the value to recognize each time that service is redeemed.

  4. Confirm the package price matches the included redemption values before staff start selling it.

Sell and collect payment

  1. Keep old package templates inactive instead of deleting them when clients may still have active balances or historical invoices.

  2. On a phone, select Add, then Sale to open New sale directly. You can also open Sales > New sale or start from a client profile. Wait for payment and tax settings to load, then choose Packages. Search by package name or any included service, then select the active package you want to sell.

  3. On mobile, selecting a package collapses the catalogue into a compact summary and moves you to Customer. Choose Change to reopen the package search without losing the sale.

  4. To leave New sale before finishing, select Cancel sale or the close X. If you selected items or entered details, choose Keep editing to preserve them or Discard sale to leave and clear the draft. If you already attempted payment, review Sales before starting again.

  5. Select or create the customer and sell the package with the amount collected today.

  6. Review the created package sale invoice, amount paid, balance due, sessions remaining, expiry date, and liability remaining on the client record.

  7. Record additional payments from the package invoice when the client pays the remaining balance. The appointment payment panel also surfaces that linked package invoice and accepts any amount up to its outstanding balance.

Redeem a session

  1. If a package session has not yet been funded by package payments, the appointment summary shows that session value as due for the visit while retaining the full package invoice balance.

  2. When the client attends, open the completed appointment and redeem the matching package entitlement so liability is released and revenue is recognized.

Cancel, expire or review

  1. Reverse a redemption only when it was applied to the wrong appointment or entitlement and no payment has been recorded on that appointment invoice.

  2. Cancel an active package from the client record when needed, record a reason, and enter any refund amount that should reduce retained package value.

  3. Use Expire overdue packages to close packages past their expiry date, then review dashboard totals for finance follow-up.

  4. When client portal package visibility is enabled, clients can review remaining sessions, expiry, value, payments, and outstanding balances, then use Book with this package to start a matching booking.
