Add and manage team members
Invite team members, assign neutral access roles, and map services to each person.
In this guide
Add a team member
Open Team. Use People & roster for members, roles, services, and working hours; use Time off for absence and booking-recovery cases.
From People & roster, click Add team member.
Enter the person’s name and email, then choose Administrator, Admin + Service Provider, or Service provider access.
Choose the right access
The selected role controls calendar ownership. Provider roles count toward the plan’s bookable team limit; Administrator does not.
Administrator users run operations without a personal calendar. They can invite, resend invitations, archive, reactivate, and manage service assignments for team members, including the Business owner’s service assignments. They cannot change ownership, the owner’s profile or calendar access, subscription billing, business erasure, unrestricted exports, or other owner-only controls.
Admin + Service Provider users have the same operational administration access plus their own calendar and service assignments.
Service provider users see their own schedule and clients assigned through their bookings, including the private notes and forms needed to deliver the service.
Invite and set availability
Send invite and track acceptance from the team screen.
Assign service capabilities and edit availability templates.
The starter Monday-to-Friday roster is enough to begin using the calendar. Advanced rotations, recurring unavailable blocks, special dates, and roster copying are optional.
Use Roster & availability to compare the recurring template with the actual week after special hours, leave, closures, blocked time, and bookings.
Use roster changes for planned availability. For an unexpected absence that already affects bookings, open Team > Time off so customers can be notified and each appointment can be recovered safely.
Review and maintain access
Only the Business owner can assign access roles. Schedmo asks the owner to confirm their password before access changes.
Review the access summary shown on each role card before sending the invite or saving a change.
Archive inactive team members to keep history intact. Business owners and Administrators can reactivate a profile linked to its existing login. If an archived profile is not linked to a login, reactivation sends a new invitation.
