Manage staff rosters and special hours

Start with simple weekly hours, then optionally add rotating rosters, recurring unavailable time, special dates, and safe roster copies.

Step by step

    You do not need to build an advanced roster before using Schedmo. A new business already has a bookable owner with Monday-to-Friday 9am–5pm hours and can create internal appointments immediately. Confirm or edit those simple hours before publishing online booking.

    Open Team and stay on People & roster. In Roster & availability, Actual week includes special hours, approved leave, closures, blocked time, and bookings; Roster template shows only the repeating pattern.

    Select Edit roster for a bookable team member. A one-week roster is the simplest option and is suitable for regular weekly hours.

    For alternating schedules, create a two-, three-, or four-week cycle with a future start date. The previous cycle ends safely the day before when that option is selected.

    Add separate working windows for split shifts. Working windows on the same day cannot overlap, and overnight hours must be split across two days.

    Add recurring unavailable blocks, such as lunch or administration, only when the same block repeats with the roster. These blocks remove internal and online availability.

    Use Copy week inside a rotating cycle to reuse one template week, or Copy roster to staff from the Team overview to create matching hours for selected bookable team members.

    Before a save or roster copy, Schedmo checks future booked and pending appointments. If any fall outside the proposed hours, review the list. Continuing changes availability but does not cancel or move those appointments.

    Use Special dates for a holiday, one-off working day, changed hours, or a fully closed day. A special date replaces the recurring template only for that date.

    To remove a special date, edit it and select Use recurring roster. Schedmo checks appointment impact before restoring the template.

    Use Roster history to see recent roster-cycle, working-hour, special-date, and copy activity. If another manager changed the roster while you were editing, reload the latest version before saving again.

    Use roster changes for planned hours. For unexpected sickness or an absence that affects customers, use Team > Time off so notifications and appointment recovery are tracked.
