Manage your business waitlist

Add grouped requests, find matching times, send offers and track the resulting appointments.

Review and add requests

  1. Open Appointments, then Waitlist. Waiting, Offers, Bookings and All history keep each outcome visible. Search by client name, contact or service, and filter by Service, Provider or Requested date. Page controls handle longer lists. Outcome cards show waiting requests, active offers, appointments created and all-time requests; counts cover the business, regardless of filters. Waitlist permissions control access.

  2. Choose Add request. Enter the client name and at least one reachable email address or mobile number, select the services, and choose a date range and optional time window and Minimum notice. One request keeps all selected services together. Any available provider must offer all selected services.

Manage preferences and openings

  1. Open Manage request to review the supplied contact, preferences, private staff notes and offer history. Save preferences after agreeing changes with the client. Offers that still match are kept; incompatible offers are withdrawn. Notes alone do not withdraw an offer or reset the automatic contact cooldown.

  2. Choose Find matching times, then an available time and Send offer. Show more matching times loads later openings. The client receives a private link to review normal booking requirements. Offers last up to one hour and end earlier when minimum notice requires it. An offer does not reserve a time.

  3. Use Book agreed time only after confirming the time and current service price with the client. Confirm Create appointment. The saved appointment and waitlist request are linked; the request moves to Bookings. Viewing an appointment or sending an offer alone does not create a booking.

Set up automation

  1. Open Workspace Settings → Waitlist. New workspaces start with Enable waitlist off. Turn it on for staff requests, and separately enable Online waitlist requests to let clients join from your booking page. Save changes. Manage waitlist opens the request queue. You pick keeps matching with staff; Automatically offer slots checks openings when online booking is enabled. First in line uses request age, Highest value uses requested service value, and Offer to all lets the first customer to finish booking secure the time. Clients receive at most one new automatic offer every six hours.

  2. Turning Waitlist off pauses new requests, offers and waitlist bookings. Existing requests remain available to update or withdraw. Declined or expired offers return requests to waiting. Failed or expired payment checkout also restores an eligible request; payment pending is shown until completion. A request expires after its final requested date.

Recover or remove a request

  1. For contact corrections, choose Correct contact details and send a verification link to the replacement email or mobile. The customer must confirm within 15 minutes; their place is kept, previous links and active offers are replaced, and shared profile details are unchanged. For failed delivery, open Message delivery and use Retry delivery. An expired offer needs another matching time; contact verification needs a new verification link. Queued does not mean delivered. After loading errors use Retry loading waitlist; visible cards may be out of date until refresh succeeds.

  2. Choose Remove request and confirm to withdraw its active offers. This does not cancel any existing appointment. For help with access, matching or delivery, open Support and include the waitlist reference, without sharing private management links.
