Publish a clear personal-account experience, control self-service features, and resolve client access without mixing client and staff accounts.

Step by step

Open Settings, then Client portal. Turn on Portal access only after client contact information, policies, booking availability, forms, packages, and payment configuration are ready.

Choose whether clients can see Invoices, Packages, and Forms. These controls protect both navigation and API access, so a hidden section cannot be retrieved through a direct portal request.

Choose whether clients may cancel or reschedule appointments and set each minimum-notice window. Completed, cancelled, past, or inside-notice appointments remain blocked automatically.

Open Notifications and set Reply-to email to the public address clients should use. Keep Business notification email for staff alerts; it is not used as the portal’s client contact address.

Use Copy link to share the secure client-portal entry point. Preview client sign-in opens a separate personal-account session and never reuses a logged-in staff workspace session.

Public booking confirmations direct new clients to Create client account with their booking details privately prefilled. Existing users receive a clear Sign in to client portal action. Appointment, status, reminder, series, and invoice emails deep-link to the relevant portal section.

Ask clients to use the same verified email address stored on their booking. A client account can connect to more than one business, and duplicate client records for the same business are consolidated into one business choice.

If a client sees No linked business, verify the account email is confirmed and compare it with the client record. Correct the client email when authorised, then ask the client to refresh; do not create or share a clinic staff login.

Keep appointment, package, form, invoice, and waitlist records current. The portal only shows records owned by that signed-in client and only while the corresponding business feature is enabled.

Run a go-live test with a non-staff email: make one booking, create or sign into the personal account, switch business if applicable, add the appointment to a calendar, open a form, review a package and invoice, test allowed cancellation and rescheduling, and leave a test waitlist entry.

For online payments, complete one successful checkout and one cancelled checkout. Confirm the client returns to a clear portal or booking confirmation, no duplicate appointment or invoice is created, and payment identifiers are removed from the address bar.
